MaintainX alternative

Everyone sees the queue. Nobody pays per seat.

MaintainX is a great CMMS. Its free requester seat is a light one, though: raise a request and you don't get an ETA, a supplier, a price, a PO number, or a view of anyone else's request. That visibility sits on the paid, per-person tier. Parts Requester gives every single user the full picture, at one flat fee.

What actually changes

The queue answers for itself, so nobody chases.

Stores stops being the search engine

The status and the ETA sit on the request. The person who wants to know reads it, instead of walking round to ask.

Slippage is caught before Tuesday

Needed-by against ETA, on one screen. When the date moves, it moves in front of everyone, not in a DM.

Planned buying, not firefighting

Every request is tagged planned or breakdown. Moving spend out of the breakdown column is where the money is, and you can finally see it.

Keep the CMMS you have

A request carries your CMMS job number, so the two stay tied together. Nothing to rip out, nothing to migrate.

What a free requester can see

A free seat that can't see the answer isn't free.

Parts Requester has no "requester" tier, because every user is a full user. So the engineer who raised the part can see exactly what stores did with it.

Per MaintainX's own Help Centre, Requester accounts are free but limited to the requests they raise, while supplier, price and purchasing visibility sit on the paid tier. See Roles & permissions and Purchase orders. Accurate at the time of writing; check their current docs.

What the same visibility costs

One flat fee, or a bill that grows with every head.

Row one is the case where we lose, and it stays in. If one person raises everything and nobody else needs to look, a free requester will do. The moment your team needs to see it, per-seat pricing starts climbing while ours doesn't move.

When MaintainX is the better fit

If you need a full CMMS, buy the CMMS.

Scheduled preventive maintenance, an asset register with meter readings, a large support organisation, multi-site roll-up, that's their ground, and they're good at it. We're not trying to be a CMMS. We're the requisition slice, done properly, and it sits alongside one rather than replacing it. If your problem is parts, tools and PPE getting lost between the floor and stores, that's the whole of what we do.
